Once you have chosen a VoIP provider, someone has to decide what your staff will actually pick up. The default answer — buy everyone a desk phone — is expensive and wrong for roughly half of most teams. The opposite default, put everyone on the app, is wrong for the other half.
The right approach is to match the device to the role.
The three options
IP desk phones
Physical handsets that plug into your network, typically powered over the Ethernet cable so no separate adapter is needed.
Strengths: they always work the moment you lift the handset, with no application to launch or update. Audio quality on a decent unit is excellent and consistent. Programmable buttons make transfers, park, and speed dials genuinely fast for someone doing them fifty times a day. They survive spills, drops, and eight-hour shifts. And they need no training whatsoever — everyone already knows how a telephone works.
Weaknesses: upfront cost, they occupy desk space, they are tied to one location, and they are one more class of device to keep updated.
Softphones on a computer
An application on a laptop or desktop, used with a headset.
Strengths: no hardware cost beyond a headset, the phone follows the person to wherever the laptop is, and integration with other software is far deeper — click a number in your customer database and it dials, with the call notes writing themselves back. Screen space also makes queues, transfers, and directories easier to work with than a small handset display.
Weaknesses: the computer has to be on and the application running, which means a call missed while the laptop was asleep. Audio quality depends entirely on the headset and on what else the machine is doing. And updates occasionally break things at inconvenient moments.
Mobile apps
The business phone system on a smartphone, with the company number as caller ID.
Strengths: genuinely essential for anyone who works away from a desk. Staff keep their personal number private while calling as the business. It doubles as failover when the office loses power or connectivity. And it costs nothing beyond the license the user already has.
Weaknesses: call quality on cellular data varies with signal. Battery drain is real. And the boundary between work and personal time erodes quickly unless someone sets rules about it.

Most small businesses end up with a mix, and that is the correct outcome rather than a compromise. A ten-person company might buy three desk phones, put six people on softphones, and give everyone the mobile app.

Buying desk phones without regret
- Insist on wideband audio support. HD voice is the difference between a call that sounds like a telephone and one that sounds like the person is in the room. It costs almost nothing extra now.
- Get power over Ethernet. One cable per phone instead of two, no wall adapters, and every phone stays up if you put the network switch on a battery backup.
- Check for a pass-through network port. The phone sits between the wall jack and the computer, so you do not need to run a second cable to every desk.
- Count the programmable buttons honestly. Reception needs many. A general office user needs very few and should not pay for them.
- Buy phones certified by your provider. Certified models provision automatically and are supported when something breaks. Uncertified hardware turns every issue into a debate about whose fault it is.
- Avoid locked phones from a previous provider. Cheap on the second-hand market, frequently impossible to reconfigure.
- Confirm the headset connection you need. A dedicated headset port, USB, or Bluetooth — they are not interchangeable across models.
Headsets deserve more attention than they get
For anyone on softphones, the headset is the entire audio experience, and it is routinely the cheapest thing in the budget. That is backwards. A person spending four hours a day on calls will notice a good headset every single day.
Prioritize a noise-cancelling boom microphone, which matters far more than what the wearer hears. Choose binaural in open offices and monaural where people need to stay aware of colleagues. Wireless is worth it for anyone who moves around; wired is more reliable and never needs charging. And check the weight, because a headset that is uncomfortable after two hours will be abandoned regardless of how it sounds.
The network work that has to happen first
Before ordering anything, confirm that the plumbing supports it. Does your switch supply power over Ethernet, and does it have enough total power budget for the number of phones you are adding? Is there a network drop at every location that will get a desk phone? Is the switch itself modern enough to handle prioritization properly?
Separating voice onto its own network segment is worth doing while everything is being touched anyway. It makes prioritization more reliable, keeps voice traffic away from general office traffic, and simplifies troubleshooting later.
Start small and expand
Do not buy hardware for the whole company in one order. Buy two or three units, put them with the people who will use the phone system hardest, and run them for a fortnight.
You will learn more in those two weeks than in a month of comparison — that the buttons are in an awkward place, that the display is unreadable under your office lighting, that the headset port is the wrong type. Fixing that on three units is a minor annoyance. Fixing it on thirty is a budget conversation.
